## Privacy at a glance

## 1. Scope and contractual incorporation

This Notice explains how Wingspan LLC handles personal information in connection with:

- public beta-request surfaces;

- request review and beta-access administration;

- account activation and authentication;

- the HorizonSong private-beta workspace;

- supported document intake;

- user-requested AI-assisted features;

- product security, operations, feedback, and support; and

- withdrawal, account-closure, and privacy requests.

For an activated participant, this Notice is incorporated into and forms part of the HorizonSong Private Beta End User License Agreement, version 2026-08-23-v4. Submitting a beta request does not accept that agreement or this incorporated Notice for participation. Participation acceptance occurs only through the separate affirmative activation process.

This Notice applies only to HorizonSong beta activities controlled by Wingspan LLC. A third-party website, employer, job board, or other service has its own practices.

## 2. Beta-request information

When you request beta access, Wingspan LLC may collect:

- your provided name;

- your email address;

- the date and time of the request;

- the version of the request notice and acknowledgement presented;

- an acknowledgement that the request does not guarantee access;

- a human-verification result category;

- an opaque request reference, deduplication value, status, and audit history; and

- limited technical and security information needed to prevent abuse and operate the request form.

A request does not require a resume, job posting, employer information, free-text career history, or sensitive document. Do not place those materials in a request form, social-media comment, direct message, or ordinary email.

Wingspan LLC uses request information to receive and review the request, prevent duplicate or abusive requests, communicate about request status and possible activation, provide support, and maintain required security and audit records.

## 3. Account and acceptance records

If access is approved and you choose to activate an account, Wingspan LLC may process:

- an account identifier and authentication status;

- your email address and account-contact information;

- authentication, recovery, and security-event categories;

- the exact EULA and Privacy Notice versions and document hashes presented;

- the exact acceptance checkbox text and acceptance-surface version;

- the application build offered at acceptance;

- the acceptance time in UTC;

- stale-version and mismatch-rejection results;

- activation-binding and reacceptance status; and

- append-only acceptance, reacceptance, withdrawal, closure, and related audit records.

Passwords, authentication secrets, and multi-factor codes are handled through the activated authentication process and are not intended to become workspace content or ordinary operational records.

## 4. Workspace and career information

HorizonSong may process information you choose to enter, create, import, or save, such as:

- selected experience, skills, preferences, priorities, and profile information;

- job leads, role descriptions, employer and opportunity information, source links, notes, questions, and decisions;

- pursuit status, next steps, reminders, and outcomes you record;

- draft application, communication, or planning materials;

- corrections, rejections, and user-approved workspace updates; and

- other job-search information you intentionally provide.

HorizonSong is designed for your own job-search organization. Do not use it to store information for employer-side screening or consequential decisions about another person.

## 5. Supported documents

When document intake is activated, HorizonSong may process supported career materials you choose to provide, such as resumes, cover letters, role descriptions, work-history documents, portfolio summaries, and job-search notes.

Document processing may include the original file, filename, file type and size, upload time, account-scoped storage reference, quarantine and validation status, malware-scan status, extracted text, document-derived workspace information, requested drafts, and deletion status.

Files may remain restricted or quarantined until applicable validation and scanning are complete. No scanner or technical safeguard detects every threat or prohibited category. Wingspan LLC may reject, quarantine, restrict, or delete unsafe, unsupported, corrupt, prohibited, or unverifiable files.

## 6. Information not allowed

Do not submit information that is not reasonably necessary for your use of HorizonSong. Do not submit:

- Social Security, tax, passport, driver's-license, financial-account, payment-card, or authentication information;

- medical, disability, genetic, biometric, or detailed health information;

- immigration documents or government-issued identity documents;

- information about children;

- trade secrets or employer-confidential information you are not authorized to use;

- background-check or consumer-report information about another person;

- malware, harmful code, unlawful material, or content that violates another person's rights; or

- another person's sensitive information without an appropriate lawful basis and permission.

This warning does not mean Wingspan LLC can detect or prevent every prohibited submission. If prohibited information is identified, Wingspan LLC may restrict access, quarantine or delete the material, or take other reasonable protective steps.

## 7. Usage, device, support, and security records

HorizonSong and its service providers may generate limited records needed to operate and secure the beta, including:

- session and authentication events;

- feature-use and workflow-status categories;

- browser, device, network, diagnostic, and error information;

- timestamps, request identifiers, rate-limit and abuse-prevention events;

- document validation and scan results;

- AI request status, usage, failure, token, and estimated-cost categories;

- support communications and issue-resolution records; and

- consent, acceptance, withdrawal, closure, deletion, and audit events.

Where reasonably practicable, ordinary operational records should use opaque references and category-only events rather than raw workspace content. Support and incident investigation may require limited access to content relevant to the issue.

## 8. How Wingspan LLC uses information

Wingspan LLC may use information to:

- receive, review, approve, decline, and administer beta requests;

- create, authenticate, secure, and support accounts;

- provide workspace, document, export, and other activated features;

- provide AI-assisted processing you request;

- preserve user corrections, choices, and approved workspace state;

- troubleshoot errors, investigate incidents, prevent abuse, and protect users;

- communicate service, security, legal, support, and request-status information;

- evaluate and improve beta functionality, reliability, usability, and accessibility;

- enforce the EULA and protect rights and safety;

- respond to withdrawal, account-closure, and privacy requests; and

- meet legal, dispute, audit, and recordkeeping obligations.

Wingspan LLC will not use a beta request as consent for unrelated optional marketing, research, testimonials, endorsements, or materially different AI-training uses. Those uses require separate treatment where pursued.

## 9. AI-assisted processing

When an AI-assisted feature is enabled and you request it, information reasonably needed for that request may be sent to an AI service provider. Depending on the feature, this may include user-selected profile information, role information, document text, instructions, prior workspace context, and the generated response.

AI-assisted output is returned for your review and decision. You may correct, reject, delete, or choose not to save it. Wingspan LLC may maintain category-only usage and cost records without retaining raw prompts or outputs in ordinary usage ledgers. Content you choose to save becomes workspace content and follows the applicable retention rules.

Wingspan LLC will not intentionally use private workspace content to train a general-public AI model unless that materially different use is separately disclosed and separately accepted. Service providers may maintain limited abuse-prevention, security, diagnostic, cache, or legal-compliance records under the activated configuration and applicable agreements. Material provider practices must be accurately reflected in the live notice before the related feature is enabled.

## 10. Service providers and disclosures

Wingspan LLC may use service providers for hosting and content delivery, security and human verification, authentication, database and file storage, email delivery, document validation and malware scanning, support, and user-requested AI processing.

Providers may process information only for the service role for which Wingspan LLC makes it available, subject to applicable agreements, settings, provider systems, and law. Wingspan LLC should limit information to what is reasonably necessary for that role.

Wingspan LLC may also disclose information:

- at your direction or with your consent;

- to investigate misuse, protect security, enforce the EULA, or protect rights and safety;

- to comply with law, legal process, or a valid government request;

- to professional advisers subject to appropriate duties of confidentiality;

- in connection with a merger, financing, reorganization, sale of assets, or similar transaction, subject to applicable law and notice obligations; or

- in aggregated or de-identified form that is not reasonably intended to identify you.

Wingspan LLC does not authorize a provider to use HorizonSong information for the provider's own targeted advertising. Provider-managed logs, backups, security records, and operational archives may remain subject to provider systems and schedules outside Wingspan LLC's direct control.

## 11. No sale, targeted advertising, or undisclosed public-model training

Wingspan LLC does not sell personal information and does not use HorizonSong information for third-party targeted advertising.

Wingspan LLC does not intentionally use private workspace content to train a general-public AI model unless that materially different use is separately disclosed and separately accepted. Any optional research, testimonial, endorsement, marketing, or materially different training permission must be separate from required beta participation acceptance.

## 12. Cookies, browser storage, and similar technology

The activated beta may use first-party cookies or similar technology for authentication, security, request integrity, preferences, navigation, and session continuity. Limited browser storage may support local preferences or interface state.

HorizonSong is not intended to use cross-site behavioral advertising or fingerprinting. Service providers may create security, delivery, authentication, or diagnostic records as part of their services. Any materially different analytics, advertising, or tracking use must be disclosed before activation.

## 13. Retention

Wingspan LLC retains information only as reasonably needed for the purposes described in this Notice, including beta operation, participant support, security, product evaluation, legal obligations, dispute handling, abuse prevention, and documented operational needs.

Retention depends on the record category and account state. Request records, account records, workspace content, documents, support records, security logs, legal-acceptance evidence, and provider-managed copies may have different schedules. Acceptance and reacceptance evidence may be retained as needed to establish the terms presented and the participant's response.

When an account is closed or participation ends, Wingspan LLC may retain limited records needed for security, fraud prevention, disputes, legal obligations, and evidence of prior acceptance or requests. Records not subject to a continuing purpose should be deleted or de-identified under the applicable schedule.

## 14. Access, correction, export, and deletion

You may contact admin@horizonsong.net to request:

- access to categories of personal information Wingspan LLC controls about you;

- correction of inaccurate account or workspace information;

- export of supported workspace information where reasonably available;

- deletion of records Wingspan LLC controls;

- beta withdrawal; or

- account closure.

Wingspan LLC may reasonably verify your identity, account, and request before acting. Do not send passwords, authentication codes, resumes, or sensitive documents by ordinary email.

After a reasonably verified deletion request, Wingspan LLC will delete records it controls within 10 business days, unless a documented legal, security, abuse-prevention, dispute, or operational hold applies. Wingspan LLC will explain a material limitation when reasonably possible.

Deletion may not immediately remove provider-managed logs, backups, quarantine records, security records, or other copies outside Wingspan LLC's direct control. Those copies may remain until they age out under provider systems and schedules.

Optional-email opt-out, beta withdrawal, account closure, access, correction, export, and deletion are separate workflows. Sending an email does not itself complete a request; Wingspan LLC must reasonably verify and process it.

## 15. Security and access

Wingspan LLC uses administrative, technical, and organizational measures intended to protect information in light of the beta's size, sensitivity, and risks. Measures may include access controls, account isolation, transport encryption, provider security features, restricted document handling, validation and scanning, logging, and review procedures.

Access to personal information should be limited to authorized people and providers who need it for an identified operational, support, security, legal, or user-requested purpose. No system is perfectly secure, and Wingspan LLC cannot guarantee that loss, misuse, unauthorized access, or another incident will never occur.

If Wingspan LLC determines that a security incident requires notice under applicable law, it will provide the required notice.

## 16. Processing location

The private beta is offered only to participants in the United States. Information may be processed in the United States and in other locations where activated service providers operate. Those locations may have different data-protection laws.

Before a provider-dependent feature is activated, Wingspan LLC must verify that the live provider role, configuration, material processing location, retention, and deletion limitations are consistent with this Notice.

## 17. Children

HorizonSong is not offered to anyone under 18. Wingspan LLC does not knowingly collect personal information through the beta from a person under 18. If you believe a minor provided information, contact admin@horizonsong.net.

## 18. Not for employer-side decisions

HorizonSong is designed for an individual's own job-search decisions. Wingspan LLC does not offer the private beta for employers to screen, rank, select, discipline, compensate, promote, or make another consequential decision about a worker or applicant.

Do not submit another person's information for those purposes. If Wingspan LLC later offers a materially different employer-side service, it will require separate review, notices, terms, controls, and legal analysis.

## 19. Communications and preferences

Wingspan LLC may send messages reasonably necessary to administer a beta request, activate or secure an account, provide support, respond to a data request, or deliver a legal or service notice.

Optional or promotional messages, if offered, must provide an appropriate preference or opt-out method. Opting out of optional email does not withdraw you from the beta, close your account, or request deletion. Beta withdrawal, account closure, and privacy requests use the separate processes described above.

## 20. Changes and renewed assent

Wingspan LLC may update this Notice. The current version and effective date will be displayed with the beta.

Because this Notice is incorporated into the EULA, a material change requires presentation of the updated EULA and Privacy Notice and renewed affirmative assent before continued participation. Material changes include changes to information categories, purposes, disclosures, provider or AI roles, sale or targeted-advertising treatment, public-model-training treatment, retention, deletion, security commitments, participant rights, request methods, processing locations, or another matter reasonably likely to affect a decision to continue.

Prior versions, document hashes, checkbox text, and acceptance records will be preserved under the applicable retention policy and will not be silently overwritten.
